SuperAdmin Feature: Add & Remove all instances of a shared form in bulk

Keeping assessment forms in one45 up-to-date is an important task and administrators with the super admin permission can now deactivate a form, in all groups it’s shared, with one click.

When an assessment form is edited or a new version required, a new form is created in one45 and the old form is deactivated. Previously you would have to go into each group the form was shared to and deactivate the old form in each group. You can now deactivate a form for all groups it was shared.

To do this you would go to any group the form is active > choose Forms > Forms and click deactivate for all groups for the necessary form:

In circumstances where a form may have been deactivated and a reactivation is required, administrators with the super admin permission will also have the ability to reactivate to all groups from Your inactive forms list and click reactivate for all groups for the necessary form:

For more information about sharing or cloning forms please visit this support resource: How do I share or clone a form?

Making Schedule adjustments due to COVID-19? We can help.

We have heard from many of our customers making schedule changes and adjustments to extend the current academic year dates due to COVID-19. All of us here at One45 are committed to helping you navigate the changes in your work and help make things easier wherever we can.

There are two possible solutions to consider when making extensions to the academic year in your One45 schedule:

Option 1: Have us create a new secondary block structure in the current 19/20 academic year.

Option 2: Have us create a new secondary block structure in the 20/21 academic year.

For both options:
  • This new block template will not be rolled over into the next year;
  • In most cases, this will add 19/20 learners to the 20/21 rolodex;
  • You will need to schedule learners into rotations on the new block line, as needed;
  • This will require a few more clicks when it’s time to send evaluations as you’ll need to initiate both the existing block send outs and the new block send outs;
  • Please contact support with detailed dates of the extension you’d like to implement. We will work with you to add the additional block template to all necessary groups.

Ramifications of overlapping schedules:
Adding additional blocks to the current block structure would not be the best solution - it will cause problems with the block sendouts when the next academic year comes around because the dates overlap. It will also cause issues when rolling over blocks into the next academic year.

Rolodex: Either solution above will likely cause the 19/20 and 20/21 cohort to appear in both years’ rolodexes - due to overlapping dates.

Reporting Dates: When running reports (grades, logs, evals, custom search, CBME etc.) - rather than using the default date range or other date options like 'last year', 'this year so far', etc. you would need to indicate specific dates so that they encompass the whole time frame.

CBME: Mostly unaffected by this as if a learner isn’t scheduled into a rotation there are measures in place to ensure the forms are available to them. When running CBME related reports, you may need to adjust reporting dates as mentioned above.

Grades (and Unify): Please contact us to assess your set-up and provide the best solution.
Lotteries: Please contact us to assess your set-up and provide the best solution.

Run other EPA-related reports from the EPA Achievement Report

From the EPA Achievement report (accessible from the learner eDossier > Reports Center) you can now quickly access other frequently used EPA reports including: Competency/EPA Summary Report, Assessment Count per Competency/EPA and the EPA Status Report.

Rather than having to navigate back to the Reports Center, these reports can now be run for the same learner and EPA right from inside the EPA Achievement Report. The report(s) you choose will open in a new tab using the same parameters you used to run the EPA Achievement Report (date range & mapping list):

With your chosen report(s) open in a new tab, you can toggle between them, or set them up side by side to review data concurrently:

Mark an EPA as Achieved from the EPA Achievement Report

The EPA Achievement Report now allows anyone with access to the report (except learners), to mark an EPA as achieved after a Competence Committee meeting. Learners will not see this option.

To see this new functionality in action:
From the eDossier of the learner > Reports Center, run the EPA Achievement report, choosing your date range and the EPAs you'd like to report on.

Once the report is displayed, you'll see a button next to each EPA with the ability to Mark achieved:

If you've marked an EPA as achieved in error, please contact support and we would be happy to correct the error with approval from your Program Director.

New CBME Reporting option: EPA Detail Report

The new EPA Detail Report allows Competence Committee members, Program Directors and Administrators, as well as Learners, to review a summary of individual EPAs.

This new report will look familiar to users of Reports by Target, with two notable differences: you can run the report for multiple EPAs at once, and you can filter your results by the overall score on the form. It is also accessible from the eDossier Reports Center, so special permissions or configurations are not required to allow access.

Filtering allows you to look at a summary of all EPAs, or just EPAs that met the bar to be considered for entrustment - or EPAs with a lower entrustment rating, to review what could be improved.

Please note: in order to filter by overall score, your form’s single overall entrustment question must be tagged using the overall question tag in CBME setup.

The new and improved EPA Achievement Report

With the release of the EPA Achievement Report [now EPA Status Report] in November, Competence Committee members, Program Directors and Administrators, as well as Learners were (and still are) able to see, at a glance, a Learner’s progress in obtaining observations of Entrustable Professional Activities (EPAs).

Now, with the new EPA Achievement Report, Competence Committee members, Program Directors and Administrators, as well as Learners, can now see a Learner’s progress in obtaining observations of EPAs in the context of each EPA’s unique assessment plan.

We’ve retained Evaluation Status from the EPA Status Report, so programs can continue to monitor issues with requesting and completing EPAs, seeing at a glance if learners are asking to be assessed, and if assessors are completing their forms per EPA.

This report is currently in beta, and available to select customers. If you would like to have access to this report, please contact support@one45.com.

Once you have access, the report is available from the eDossier of the learner you would like to report on > Reports Center > EPA Achievement Report:

Once you choose a date and an EPA to report on, the report will load:
