System Update: Updated auto-login functionality release completed

The one45 team is happy to announce the completion of the release of our updated auto-login link functionality.  

This functionality will only affect schools that have auto-login links enabled.

We have made the following changes to how our auto-login process works to make our system more secure and improve our user experience:
  1. Auto-login links sent via email will no longer provide full system access. Instead, anyone using an auto-login link for one45 will only have access to their To Dos page, and any relevant To Dos.
  2. After a link has been used (i.e. clicked on to access the system) it will become deactivated.  If the link is clicked on again an email will automatically be sent to the intended user with a new link.  This will make logging in much easier for someone who can’t find their most recent reminder email, or who has already used their most recent link to log into the system.

If you have the access to edit grades/marks at your institution, then you will love to be able to activate grade sheets yourself! 


We have released our internal tool that is used to attach grade sheets to rotations, courses or individuals. 

From the Setup tab under Grades (or Marks), you can go and activate grade sheets by clicking on the new activate button and selecting desired options.

System Update: November 2nd – Auto-login Link Updates Release

The one45 team is excited to announce the release of our updated auto-login link functionality.  This functionality will only affect schools that have auto-login links enabled.

The auto-login updates will be rolled out over the next few weeks.  It will be enabled by default commencing November 30th when it will be permanently turned on.  Please see below for details:

Revolutionary support tool!


We are excited to announce that on October 15th we launched a revolutionary way of supporting you: An interactive step-by-step onscreen tutorial! 


Clicking on the ‘Support’ tab now takes you into a new menu where you can search for help content or take a step by step guided tutorial for a variety of tasks ranging from adding learners to a rolodex to setting up evaluation workflow.

Look for the following symbols:



To submit a ticket or access the support site, simply click on “Go to full support site” at the bottom of the menu.

We know that your time is valuable, so we want to help you do your tasks quicker, facilitate on boarding of new admins and generally make your relationship with one45 easier.

System Update: Sept 30th 2015

The completed forms report is now pulling results based on the date of completion of the forms. 



Before, the tracking report on completed evaluations gave results based on the date the form was received by the evaluator, which didn't show you the completion date on the results page. 

If you need to know which forms have been completed within a time range (e.g. rotation dates), you can always use the Custom Search feature and check off completed forms only.

The report will display how mapping list items, objectives, and weightings are attached to moments in the curriculum, including which moment each is associated with, and how they relate to each other. 

You can view the report on screen or extract it in Excel.

 Control when session objectives are released to learners:

You now have the ability to decide when you'll release session objectives within your curriculum schedule to your students.

By default, any objectives added to your sessions will be immediately viewable by students if: 

1. They have the permission to view objectives

The permission for students to view objectives is activated from the Setup > Curriculum roles page: 




2.  The box to release objectives at a certain date/time is not checked off



Note: There must be at least one section set up under the session for students to be able to view them. Sections determine the date and time they are released.

To release the objectives ONLY when the last section of a session ends, all you need to do is to check off the box as you add the objectives to the curriculum. 

Here is what the student would see:



NOTE: Some restrictions however apply: 

- If a student's grad year is greater than the portfolio grad year, then the objectives will never be visible.

- If a student does not have a grad year, objectives will never be visible (even with the permission)

- If a portfolio doesn't have a grad year (or invalid grad year), objectives will not be visible to students. 

- Facilitators ALWAYS have access to view objectives, no matter when.

  • we added a column to the learner's rolodex export (students and residents) to show their one45 ID.

Some institutions like to use the one45 ID of their users as a common identifier between several systems without having to use sensitive credentials information.
Here's how you can get it: at the bottom of the learners' rolodex, click on "excel export". The one45 ID is the last column on the right.

The Gap and Redundancy Analysis report gives curriculum administrators greater insight into their curriculum by allowing them to see where competencies, instructional methods, assessment methods, (or anything else that can be captured in a mapping list) are covered in the curriculum.

System Update: Coming change to remove the option to toggle feedback questions in curriculum packages

In order to streamline the logic of when feedback questions appear on evaluation forms, we will be removing the option to toggle feedback in the curriculum package set up and will be adopting the same business logic that is currently used for forms set up in the evaluation workflow.  This update will take place on Wednesday April 8th.












What are feedback questions?
Feedback questions are configured on a group by group basis and are the questions that we ask the targets and/or evaluators at the end of evaluation forms. The questions are usually whether the target and evaluator had a face to face meeting and if the target agrees with the evaluation.
NOTE: feedback questions will only be asked if they are activated for a group.

What will be the business logic for when these questions appear on evaluation forms?
There will be three possible feedback scenarios (NOTE: If feedback questions are turned off for the evaluator and/or target in an individual group, that would override what is outlined below):

1. Neither the target nor the evaluator is asked feedback questions – this occurs when the target of the evaluation is not a resident or student (ex. attending, course, admin, rotation, survey, etc…), when the form is a self evaluation, and when the target (resident/student) will not see the results of the evaluation.
2. Only the target is asked feedback questions – this occurs when the evaluation is a peer evaluation (student evaluates student or resident evaluates resident), when a resident completes an anonymous evaluation of the student and any time that a student evaluates a resident. To maintain confidentiality, the target responses to the feedback questions do not appear on completed evaluations (and therefore in certain reports). The responses can only be viewed in a form data export.
3. Both the evaluator and target are asked feedback questions – this occurs when the evaluator is an attending or an admin, and when a resident completes a non-anonymous evaluation of a student.

What will happen for forms that have already been sent?
There won’t be any change for forms that have been sent in the past.  If you had sent forms with the option to send feedback to evaluators on, the feedback scenario is similar to #3 above.  If you had sent forms with the option to send feedback to evaluators off, the feedback scenario is similar to #2 above.  This means that you will not have the ability to report on the feedback questions asked of targets.  If you wish to see the target’s feedback on completed forms, please contact us to help you.

What if I do not want to send feedback questions to the evaluator?
If you do not wish to send feedback questions to the evaluators in curriculum packages, please contact us and we will turn off these feedback questions for your group.

System News: February 17th

Today, we’re excited to announce the official release of our calendar synchronization feature.
Once your calendar synchronization feature is enabled, your faculty, resident, or student, can sync events from their one45 calendars to their mobile devices and calendar software. After the initial setup on a mobile device, the one45 calendar feed will synchronize and update automatically. Setup takes only moments and users will be able to view all of the events from one45 schedules where they are a participant.
We officially support iOS (including iPhone and iPad), Android Calendar, Google Calendar, Apple Calendar, and Outlook for Windows. If you are running Exchange, you can also use Outlook for Macintosh through the web interface. If you're using another tool to manage your schedule, and it supports common online calendaring standards, you should also be all set.
We’re going to be rolling out the new feature slowly over the next few weeks. If you want to be first in line to activate this feature at your institution, please contact our support team and we’ll set a date when we can turn on calendar synchronization for you.
