Important Update: Form Data Export will be phased out as of Dec 31

one45 has recently launched a new Form Data Report to empower administrators to perform powerful and flexible searches on your form data. This new feature replaces the Form Data Export tool which we are phasing out on Dec 31st, 2018.

You can locate the new tool in the Reports Center:
























In the new report, you can:

  • customize the columns that appear on your report 
  • export more than one form at a time 
  • add filters to your data 
  • save your columns/filters to easily rerun the same report again

If you visit the older Form Data Export page you will see:

  • a pop-up message to inform you of the coming changes 
  • an option to take a guided tour of the new tool 
  • a survey to provide feedback to us prior to December 7th, 2018 
We want to make sure that you are supported in the transition and that the new report is exceeding your needs.

If you have feedback to share on why you are still using the old version, please let us know by December 7th, 2018.

System Update: Form Data Report - report on numerical values for checkbox and radio based questions

Previously the Form Data Report would allow you to only report on the text version of an answer for questions that are checkbox or radio button based. Now you’re able to report on either the text or numerical value of checkbox and radio button formatted questions.

System Update: Completion Date now available in the Custom Search results

We've added a small improvement to the Custom Search results page. The search results page and the Excel export of a custom search now include the date the form was completed.

To see this in action perform a Custom Search:






























The results page (and the Excel export) now include a column for Date completed. If the form is outstanding, the completion date will be blank. When you reopen a form, the report will show the initial completion date. Once re-submitted, the report will update to include the new completion date. 

By exporting to Excel, the Date completed field, helps programs to calculate items such as time to completion via Excel formulas.

System Update: No need to hide unnecessary columns in the Form Data Report

When we released the new Form Data Report, we included specific default columns. We heard this was creating the need to de-select several columns when customizing reports.

Thanks to user feedback, we have changed the columns selected by default, when you run the Form Data Report. If you want to include more columns in your report you can use the Show/hide columns to customize the columns:

System Update: You can now save reports within the Reports Center!

The team has been hard at work and now you can save all reports within the Reports Center!

Go to Reports > Report Center > choose any report option available. Our example below uses the Form Data Report:




















Choose the date range for View assessments between and check the forms you’d like to report on and click Run report:































When report running completes, customize with the Show/hide columns, sorting and Filters. When you've finalized the report settings click Save report:





















This will allow you to Name the saved report and add a Description:



























Once saved you can find your saved reports on the main Form Data Report page or by clicking Run new report:


























A few things to note about the report saving feature:

  • Saved reports are group specific and will be available to users that have report access. 
  • Naming the report with relevant, meaningful information is important. Consider adding items such as your name, date range, report purpose, etc. in the report title). 
  • Anyone with access to reporting can delete any saved reports.

System Update: Your to dos are now displayed chronologically (most recent first)

When a user logs into one45, the first page they are usually taken to is their To Dos. There is a slight change to how To Dos in an eDossier will load - previously they were alphabetical by activity, they now default to being sorted chronologically with the most recent forms at the top of each section/list of forms.

Please let your users know so they aren’t surprised by this change.

Note: You are still able to sort each section/list of forms by the various column headings by clicking on the title of the column:

System Update: Easily select all numeric columns on the Form Data Report

Based on your feedback, you are now able to easily select or deselect the numeric or text answers for each likert question you'd like to see in your Form Data Report.

When choosing which columns you'd like to include in your Form Data Report, on the show/hide columns page you can now:

a. Select all or none of the numeric and text columns where a likert scale was used in the question.

b. See which of the columns/questions are numerical and which are text answers for likert scale based questions.

System Update: Admins can now delete forms in bulk

Admin users with the general edit permission are now able to bulk delete forms, rather than deleting one form at a time.

Sendouts > Custom Search > add search criteria > Search For Forms:






























From the search results page you click the Bulk Delete button which then allows you to click the checkboxes of the forms you’d like to delete. Choosing the checkbox at the top will let you select all forms in the list. Once you’ve indicated which forms you’d like to delete you click Delete forms.

When you export data from the following areas in one45 to Microsoft Excel, you can now sort the dates chronologically in Excel:

Schedule > Print Views > Vacations:

System Update: Increasing the speed of the people picker pages

In order to speed up the response time on the people picker pages, we have now defaulted the checkbox options to the 'My' options rather than the 'All'. The ‘My’ option searches just your rolodex - a smaller subset of data, which increases the search speed. The ‘All’ option searches all users across the whole the system.

This will affect areas that have the people picker search tool including custom search, bulk/single send, and evaluation workflow.

For example, here's a view of the improvement from the Sendouts > Custom Search people picker screen:

















If you would like to search all people there is the option to select all checkboxes.

System Update: Report on form data across multiple forms!

Not too long ago we released the new Form Data Report which could report on one form with the ability to customize the report in many ways before exporting. We are very happy to let you know that you can now report across multiple forms all at once with this report.

The Form Data Report option displays all results for a specific form or multiple forms within the date range indicated and includes the ability to:

  • report on inactive forms; 
  • customize columns included in the report; 
  • filter the data down to specific criteria; 
  • sort by any column; 
  • customize the order of the columns (drag and drop); 
  • export your customized report to Excel; 
  • search the data presented by keyword(s); 
  • report on child group data, when ran from the parent group.

System Update: Navigation Improvements on the Grades Page

Very exciting news for those that use our Grades module! The manage Grades page now has the column and row headings frozen so they stay put when you scroll up and down or left to right.

Please note: This new feature works when using Chrome, Firefox and Safari only.

To see this enhancement in action go to Setup > Grades > manage Grades (or manage Marks for some schools) > the window that appears has the enhancement.

If your list of learners attached to the grade sheet is long enough you will be able to scroll up and down the list of learners while the column headings stay put, making it easier to see the column heading associated with the fields for that learner.

The same applies for grade sheets with many fields, you’re now able to scroll left to right and have the learner names stay on the screen while you scroll through the width of the grade sheet making it easier to see who has which grade.

System Update: It's easier to pick people from the Evaluation Workflow

In order to improve the process around picking people in one45 we have updated the Evaluation Workflow people picker to a new version that allows more fine-grained filtering, and includes profile pictures.

From Setup > Evaluation Workflow > open or add a form workflow > the new people picker feature is available from all fields where you would indicate a specific person: Distributer, Releasor, Head Evaluator:



You're able to filter by My Residents, My Faculty and other useful filters.
Enter the name and click Search, now the search results display the profile photo:

We are very excited to announce the newest report added to the Report Center!

From the Report Center you can now run a Form Data Report (which is like the existing Form Data Export but has increased functionality).

When accessing the Mailout page you will now see the list of people that are being emailed, previously you would have had to click custom to see this detail. This change will allow for faster selection and a clear view of who the email message will be sent to.

System Update: Introducing the new one45 Report Center

You will now see a new page available under the Reports tab called Reports Center. This will be a centralized place for new reports we are building.

We will be adding new reports in coming months, so stay tuned for more information!

Our first new report is the Evaluation Workflow Overview which enables you to export your workflow settings across all groups that you have administrative access to.  You can easily detect groups that are using out of date forms or have workflows that are not inline with your policies.

To see the new report, click on Reports > Report Center > Evaluation Workflow Overview.





























From there you'll be able to indicate which groups you'd like to report on (Select all, Select none or pick specific group(s) by checking the necessary boxes next to the group name) and choose On screen:






















The report then loads, on the same screen, with options like Customize columns, Copy to clipboard or/and export to Excel, you can also Search and sort the data by various columns, you are also able to show more or less Entries per page.

System Update: New mentor/mentee permissions capability added

We’ve created a new permission that allows for more control around an admins ability to assign mentees to mentors. Previously, any admin with the “general edit” permission had the ability to add or remove mentees. Due to the breadth of access of the mentee/mentor relationship, super admins will now have the ability to control which users are able to set this up. Any user that previously had the “general edit” permission will have this new permission, but it can now be removed by super administrators with the “assign permission” permission.

To turn this ability off for an admin you can edit their permissions (Setup > Assign Permissions) or Admin Status (from their eDossier) for the Assign mentees permission:

System Update: Picking people is now easier

In order to improve the process around picking people in one45 we have:
  • Updated the custom search page people picker to an updated version that allows more fine-grained filtering, and includes profile pictures and middles names.

    From Sendouts > Custom Search > Person (pick):



    You're able to filter by My Residents and other useful filters.
    Enter the name and click Search, now the search results display the profile photo:

  •  We've also added the middle name field to the search results within the curriculum management tool (usually an Undergrad group):

    From Schedules > Management Tool:



    Within the tools area of any level of the curriculum > People page > add
Type in a name and click Search, you can see that the results now display the middle name:
